We're seeking an Administrative Business Partner to provide support to 3 executives simultaneouslyincluding our VP of Workplace, VP of Internal Audit and VP of Sales Performance. In this role, you'll play a crucial part in keeping the teams organized, motivated, and operating efficiently. Your responsibilities will include managing complex, global schedules, nurturing internal and external relationships, and excelling as a detail-oriented communicator. You should have a proactive approach and be capable of independently overseeing diverse tasks and demands, all while handling confidential and sensitive matters with the utmost discretion. What you’ll do: Leadership Partnership: Provide team insights and proactively seek solutions to challenges. Calendar Management: Manage multiple calendars, reschedule conflicts, follow up on RSVPs, considering time zones when scheduling. Travel Coordination: Reserve flights, hotels, and ground transportation; coordinate executive/team travel logistics to ensure seamless itineraries. Expense Management: Submit and approve expenses, process and reconcile purchase orders, and maintain transparency in financial tracking. Meeting and Event Support: Prepare meeting agendas, create slides from provided content, book rooms, set up tech, send invites, and ensure smooth day-of operations. Collaborate with communications and leadership for seamless execution. Meeting Execution: Schedule key meetings (QBRs, offsites, team meetings), take notes, capture actions, ensure follow-through, and implement existing processes. Communication Coordination: Draft emails, updates, manage internal comms and aliases. Admin Collaboration: Participate in admin meetings, sharing tips and templates, offering process improvements, and acting as a supportive peer and onboarding buddy for new admins. Organizational Maintenance: Maintain org charts, track team rosters, update distribution lists and Slack channels, and partner with Recruiting to schedule interviews. Support onboarding logistics. Budget and Financial Tracking: Track expenses and small budgets for events and recognition; ensure accuracy and flag discrepancies with guidance from finance or leadership. Project and Logistics Coordination: Coordinate onsite/offsite logistics, maintain trackers for projects and budgets, and assist in task management for projects led by others. Professional Representation: Represent the organization positively in all interactions, internally and externally. Stakeholder Engagement: Professionally engage with high-profile external stakeholders. Event Attendance: Support various on-site and off-site meetings and events, ensuring everything runs smoothly. What we’re looking for: 4+ years of administrative experience, including 2+ years supporting VP and Director level executives. Outstanding organizational skills, acute attention to detail, ability to handle multiple tasks in a fast-paced and time-sensitive environment Proactive and self-directed, capable of taking ownership of tasks, even in ambiguous situations with minimal supervision. Proficient in tools such as Google Suite, Slack, Workday, Expensify, Navan, and MS Office Suite. A team player with the capability to see tasks through from start to finish while collaborating with all potential stakeholders. Solid track record of handling confidential information with the utmost integrity. Bachelor’s/Master’s degree in a relevant field such as Business Administrative or equivalent experience. That means we're not always working in an office, but we continue to gather for key moments of collaboration and connection.
